Rekeying a suite in a multi-tenant office building: the tenant's cylinder, the building's master and who signs off

In a master-keyed office building, the lock on a suite door belongs to two systems at once. The tenant's staff carry change keys that open the suite; the building keeps masters that open every suite on the floor, so cleaning crews, engineers and security can get in. The ASSA ABLOY design guide for master key systems lists tenants as their own area when a building's system is planned, next to the perimeter, the core areas and management. That is why a suite rekey is not only the tenant's business: done without the building's records, it either shuts the building out of the suite or leaves the previous tenant's key working.

The link between the two is the bitting list, which records each combination the building uses. To give a suite a fresh change key and keep the building master working, the new pinning is taken from that list, so the first question is who administers the building's key control: the property manager, the owner, or a locksmith the building has named. When the list cannot be used, the suite can be pinned so the building masters no longer open it, a cylinder the industry marks NMK (not master keyed), which is a choice the tenant and management make together before the visit.

If the building runs on interchangeable cores, the pinned core slides out of its housing with a control key and no other tool. At a tenant change, the suite's cores can be pulled and replaced with cores already pinned to the new combination, with the lock hardware left on the door. Small format (SFIC) and large format (LFIC) cores do not fit each other's housings, so the dispatcher asks which one the building uses, and the control key stays with whoever administers the system.

A suite that was just built out adds one more check. During construction, doors can run on construction cores keyed alike for the crews, or on a construction master key that is permanently shut out of the cylinders without taking them apart. Before move-in, confirm the permanent cores are in and the construction keys open nothing. Doors on card readers belong to the same picture: where the reader lock has a mechanical override, that override cylinder is keyed into the system like any other door.

If the tenant and management prefer, the suite can instead be left off the masters (not master keyed), and then cleaning and engineering staff need their own key or an escort. Settle that choice before the visit so the right cylinders are pinned.
Interchangeable cores come out with the building's control key, so a suite can be moved to new cores pinned to the new combination while the locks stay on the doors. Tell the dispatcher the core format (small or large) and the brand stamped on the face, and who holds the control key.
They should not once the permanent cores or cylinders are in: construction cores are meant to be replaced when construction ends, and a construction master key can be permanently shut out of the cylinders. If you are not sure that was done, the technician can try the construction key you were given in each suite door and rekey any door it still opens.
